SMS: DLT registration documents for your school
Prepare the PAN, registration papers, authorisation letter and signatory details your school needs to register on DLT for JPRAXC SMS, with a printable checklist.
Indian telecom rules (TRAI) require every organisation that sends business SMS to be registered on a DLT platform. With JPRAXC SMS, your school registers in its own name as the Principal Entity and keeps its own DLT account, sender names (headers) and message templates. JPRAXC is registered as a telemarketer aggregator, and your messages travel along a declared chain: your school (the Principal Entity) → JPRAXC → JPRAXC's delivery partners. You add the JPRAXC SMS IDs to your entity's telemarketer chain, and JPRAXC gives you a ready template pack to register. JPRAXC never asks for your DLT login. If you want help, JPRAXC's optional SMS set-up service guides you through the registration, the sender IDs and the templates. JPRAXC SMS set-up and SMS packs are available inside School ERP › Communication › SMS.
Before you start#
- Who applies: the legal body that runs the school (the trust, society or company), through one authorised person.
- Choose one operator's DLT portal. Registering on one portal is enough. Your Principal Entity ID works with every operator.
- Fee: the Principal Entity registration costs about ₹5,000 + GST, set by the DLT portal; some portals renew yearly; paid directly by the school on the portal. JPRAXC does not collect it.
- Time: the operator checks the organisation first, then the headers, then the templates. Approval usually takes a few working days.
- Use the legal name of the body that runs the school exactly as it appears on its PAN, on every document.
- Read DLT registration in India if you are new to DLT.
Documents for the entity registration#
| # | Document | Notes |
|---|---|---|
| 1 | PAN of the legal body (trust, society or company) | Asked for on every portal. Not the principal's personal PAN. |
| 2 | One proof that the body exists | Any one of: GST certificate; trust deed (trust); society registration certificate (society); certificate of incorporation (company, for example Section 8); Udyam certificate. |
| 3 | Address proof of the body | A utility bill, a registration certificate that shows the address, or what the portal asks for. |
| 4 | Authorised person's identity | PAN or Aadhaar of the person applying, with a mobile number and e-mail address they can open for the portal's codes. |
| 5 | Letter of Authorisation | On the school's letterhead, signed and stamped, naming the authorised person. Most portals give a format to download. |
| 6 | Resolution or Power of Attorney for the signatory | Some portals ask for it. Keep a trust, society or board resolution ready. |
| 7 | School recognition or affiliation certificate | Only if the portal asks. It also supports the school's claim to its header. |
Requirements differ a little between portals. Always follow what your chosen portal shows on screen.
After the entity is approved#
- Note the Principal Entity ID (PE ID). In the School ERP, open General Settings › SMS Configuration, go to DLT registration details and type it in Principal Entity ID (if already registered) in the form Send JPRAXC the registration details. JPRAXC verifies it before it counts.
- Register the sender name (header) in your own DLT account. It is usually six letters that clearly stand for the school, for example SUNPSC for Sunrise Public School. The portal may ask for proof that the name belongs to your school.
- Register the message templates from the JPRAXC template pack. JPRAXC gives you a ready template pack with the wording the School ERP uses for fee reminders, receipts, attendance, results, notices and sign-in codes. Register each text in your own DLT account exactly as it is, including every {#var#} marker. The templates stay in your school's DLT account.
- Add the JPRAXC SMS IDs to your DLT entity's telemarketer chain. The School ERP lists them as JPRAXC SMS IDs in General Settings › SMS Configuration. In your DLT portal's telemarketer or chain section, add every ID listed. Messages can be delivered only through IDs that are in your chain.
- Enter or import your approved Template IDs in the School ERP. When the portal approves a template, it gives it a Template ID. Enter the Template IDs, or import them, in General Settings › SMS Configuration, so the ERP sends each message with its approved template. See Sender IDs and message templates in the ERP.
- Check the first message. When SMS Configuration shows Ready, send your first message from the School ERP and check that it arrives. See Send SMS from the School ERP.

Good to know#
- Keep a copy of everything the school submits and of the portal's answers.
- The school remains responsible for the registrations and documents submitted in its name.
- Never share your DLT login with anyone, including JPRAXC. JPRAXC never asks for it.
- Send only the kinds of messages you registered, and only to people who gave the school their number for this purpose.
- The DLT rules and portal screens are set by TRAI and the operators, and can change. When a portal asks for something not listed here, follow the portal.

Troubleshooting#
| What happens | What to do |
|---|---|
| The portal refuses the organisation | Read the reason, check that the legal name matches the PAN and the proof document, correct it and send it again. |
| The portal asks for another document | Follow its request. This checklist helps you prepare; the portal decides the final requirements. |
| The header is refused | Choose a header that clearly stands for the school's name, and keep the recognition or affiliation proof ready. |
| The Telemarketer chain line still asks you to add a telemarketer | Sign in to your DLT portal and add every one of the JPRAXC SMS IDs to your entity's telemarketer chain. |
| The first SMS does not arrive | See Message status and why messages are refused. |
